Privacy Policy

Acorn Reply is operated by Middlefield General Services. This policy explains what we collect, why, and how to control it.

What we collect

Account data (email, name, organisation), inbound and outbound message content, customer-supplied contact-form data, and standard server logs (IP, user agent, timestamp). We do not collect device fingerprints or set advertising cookies.

Sign-in providers

You can sign in with Google. We request the minimum profile scope (email, name) — no access to your Gmail, calendar, drive, or contacts.

What we share

Postmark (email delivery), Cloudflare Turnstile (bot protection), Neon (database hosting), and Anthropic / OpenAI (AI drafting). We do not sell or rent your data and we do not use your content to train third-party models beyond what is required for the drafting request itself.

Cookies

We use a session cookie issued by our own auth service. We do not use third-party analytics or advertising cookies.

Your choices

You can export your data on request and delete your account from settings at any time. Deletion removes conversations, customers, and voice profile from our database.

Email communications

We send transactional email (sign-in links, account changes, customer replies routed via your tenant). We do not send unsolicited marketing email.

Data retention

Conversation data is retained for as long as your account is active. Deleted accounts are purged within 30 days.

Children's data

Acorn Reply is not directed at children under 13 and we do not knowingly collect their data.

Where we operate

Acorn Reply runs on infrastructure in the United States.

Terms of Service

Your account

You are responsible for keeping your sign-in credentials secure and for the activity on your account.

The service

Acorn Reply is provided as-is. We aim for high availability but do not guarantee uninterrupted service. AI-drafted replies are starting points; you are responsible for the content you send to your customers.

Our liability

To the maximum extent permitted by law, Middlefield General Services's aggregate liability is limited to the fees paid in the twelve months preceding the claim.

Governing law and venue

These terms are governed by the laws of . Disputes are resolved in the courts of .

Assignment

Middlefield General Services may assign these terms to a successor entity in connection with a merger, acquisition, or sale of substantially all of its assets, without notice or consent.

Ending things

You may terminate at any time by deleting your account. We may terminate accounts that violate these terms, abuse the service, or remain inactive for an extended period.
