Grasshopper Signup's support inbox, run on AcornReply

Grasshopper Signup is a signup-sheet product that has been running and growing for years. Its support is busy year round: businesses, nonprofits, and international customers keep the inbox moving every month (plenty of school activity happens in the summer, too), and on top of that baseline come real spikes whenever schools, leagues, and volunteer groups spin up a new season. It's one of the products whose support we run day to day, entirely through the product this blog belongs to.

The always-on, spiky problem

A busy baseline with spikes on top breaks the usual staffing logic twice. The baseline is too steady to ignore and too small to hire for; the spikes need half a day, every day, for a few weeks. Per-seat helpdesk pricing fits neither shape: on a growing platform you'd be adding seats for the peaks and paying for them at the baseline.

The setup

Same pattern as the other products we run support for: the support address forwards to an AcornReply workspace, and each inbound email arrives with a draft already written.

What the year-round-plus-spikes shape adds:

  1. Spikes are mostly the same five questions. Season-start email is heavily repetitive — access, sharing, editing a published sheet. Draft quality compounds here: the FAQ match plus a tuned voice profile means a burst of forty near-identical questions is mostly reading and sending.
  2. Growth doesn't grow the bill. Flat workspace pricing means a high-growth platform isn't buying a new seat every time volume steps up.
  3. Nothing is owned by one person's inbox. When a spike lands during someone's week off, the queue is visible to whoever picks it up, with each conversation's history attached.

Why we publish these
